I started checking into permits, applications, requirements, etc. for holding a public event in our fair city. The city's website contains a list of items needed to hold an event: http://www.indygov.org/eGov/City/Controller/Special/process.htm

If we want to go for the closure on our schedule and not the contractor's, we should pick a date and file the appropriate paperwork. The site above details much of what is needed. I've listed a number of items here.

We will need the following permits, plans, and miscellaneous items at a minimum:
1. Special Event Permit from the City
2. Street Closure Permit
3. Food Service Permit from the Health Department
4. Alcohol permit from the State Excise Police
5. Entertainment Permit from the State Fire Marshal
6. An inspection by the Indianapolis Fire Department since we'll be closing a street
7. A clean up plan if we think we'll have more than 1000 people
8. Work with IP&L for power if we have entertainment or with a provider of portable generators
9. DPW barricades
10. Police Department/Security

Each of these involve paying a fee or expenses.

The Indianapolis Cultural Development Commission has fast track grants for up to $10,000. There are other grants available. The ICDC has info on other sources which I will get when I meet with them. Attached to this is the ICDC Fast Track Grant Application.

We should also consider forming an LLC or other legal entity to operate under. Or use an existing one from a partner or benefitting organization.

I just checked the IMS website. The motorcyle race is Sunday, September 14, with practices and qualifying on Friday and Saturday. What does everyone think of Saturday the 13th for our event? Assuming of course it's approved by all the governmental groups...
